Assignment Objective: Working in a group, you will craft a well-organized email to Tourist Publications to inform them about your Conflict Management Training.

Assignment Description:

Your boss at Personnel Solutions, a human-resources consulting firm, just forwarded an email to you that the company’s webmaster sent to him. The email is from Glenn Estes, Vice President of Operations at Tourist Publications. Mr. Estes reports a classic management problem: The Company was recently sold to new ownership, and now friction has developed between the old and new employees. Mr. Estes pulled up your company’s website on a search for conflict management training, and he wants more information to help him decide if the kind of training you offer along these lines can help solve his problems.

Your task, as one of two conflict resolution specialists at Personnel Solutions, is to answer Mr. Estes’s questions — in such a way that you will attract his business. You jot down the following notes in response to the questions:

You have three years of experience as a conflict management trainer, 12 years of personnel management experience, and certification from the American Association of Conflict Management Consultants.

You’ve worked with many small companies, maybe some he’s heard of. You also have particular experience with just the kind of situation that Mr. Estes describes—the selling of a company and the resulting personnel problems. (Refer to typical problems.)

You’ve found that it’s usually best to train the top-level management and the employees in separate sessions. When the powerful people are present, employees tend to clam up and just watch what the executives do.

For the employees, you can offer an afternoon workshop $499), a full day ($999), or an ongoing series (price to be negotiated). All materials for up to 20 people would be included in the fee. If the company doesn’t have a meeting room appropriate for the workshop, you can recommend some suitable, relatively inexpensive sites. For upper management, you can deliver a presentation on-site that summarizes the techniques (no charge if supplementing an employee workshop; $300 if by itself).

In your training you focus on specific techniques, but you don’t tailor the contents much to the individual client. You’ve found that, at least for short-term consulting, it’s best not to get too far into employees’ actual problems. When you do that, things get worse before they get better, and a short engagement doesn’t provide enough time for extensive counseling of those involved.

Your techniques have been proven to reduce friction and increase harmony in organizations.

Yes, you can help Mr. Estes frame the training in such a way that it doesn’t emphasize “conflict.” Usually you recommend that the training be described as “team building,” but you’d need to consult more with Mr. Estes to determine the best strategy for announcing the workshop in his case.

Write the email (beginning with a subject line, then salutation and body) telling Mr. Estes what he needs—and what you want him to know. Begin directly with a specific or general answer followed by most important response(s) in first paragraph. Then introduce an itemized list of answers. In your forward-looking ending, anticipate the next steps in the process.
