Assume you are the hotel manager of Miramar Hotel. The air conditioning has stopped functioning on one of the busiest and hottest weekends of the year.

You need to explain the situation and what you are going to do (or have done) about it to three audiences: (1) Your guests, (2) Your co-workers who will be helping you solve the problem, and (3) Your boss, who will not be at the hotel on Monday.

Develop a plan for the message you will send to each of these audiences in which you will follow the five-steps for planning a message.

Dear Guests,

We welcome you and wish you a happy stay in our hotel. We have put all efforts for your comfort and are available for your service 24*7.

There is one unforeseen problem that has occured. Our airconditioning is not working properly. But you need not worry. An arrangement for coolers has been made in all rooms. Even your bills will be generated according to non ac rooms. It happended unpredictably.

But you will not face any discomfort. We have also organized a dance party with welcome drinks at night in hotel restraurant.

We wish you a happy and memorable stay.

(2) (I will use circulars)

To: All concerned co workers

From: Hotel Manager

Sub: Non working of Air conditioning

All of you are hereby instructed to take an immediate action for the repair of airconditioning. Maintainence manager needs to give a written explanation for the negligence and explain why a disciplinary action not be taken against him.

Do all that you can do to comfort the clients. Provide other services at such high level fo quality that clients do not pay attention on air conditioning Make sure there are coolers in all rooms. Also ensure that no client feels uncomfortable for any reason.

(3) (I will write an email)

Dear Sir,

I am sorry to inform you that on this exceptionally busy weekend our air conditioning is not working. It has happened due to sudden fluctuations in electricity.

But we have ade arrangements of coolers in all rooms and all clients have been comforted.

We are als making an effort to compensate the discomfort in other ways. We have arranged a dance party and welcome cocktail for them.

Memo has been issued ot negligent workers.

I ensure you that clients will enjoy their stay and this mistake will be compensated by providing other services excellently.
