Project Planning
Based on the progressive case study (PCS) you will develop a project planning tool that will assist you throughout this project in completing your office project.
There is a strong likelihood that you are using subcontractors for some or all of the work. If so, discuss and address this aspect of how you will manage, maintain, and coordinate the services being provided by subcontractors.
If you are taking on the task without subcontractors, discuss and develop a tool that will allow you to effectively plan and coordinate the project.
Note: You may choose to use a tool that you have used previously. You may choose to develop something new and innovative.
This discussion is an opportunity to discuss, develop and learn from each other the possible alternatives in project planning tools available today for project managers.

THIS IS THE CASE STUDY BELOW.
A project team requires individuals from the cross-functional area who can come and work together on different aspects of the project. In this regard, a project based organizational structure will be developed that will be flat in nature. The first parameter of the selection of the team member is the ability to work in the respective areas of the project and or the past experience of working on similar projects. The second parameter is the ability to manage a dual line of command (line and project) while working on the project. The third parameter is the propensity to work in a team and complement each other so that project work runs smoothly. The fourth parameter is the ability to take decisions with the given authority so that project work is not delayed due to the decision-making process. Besides, there should be guidelines related to the scope, objectives, time-based milestones as well as closure of the project. It should be based on the ethical principles.
Regarding the challenges, the first challenge is the procurement of resources to build capacity as no any department or function wants to release the best employees. The second challenge is the building of the clarity in command so that any ambiguity is eliminated. The third challenge is the timely availability of resources and funds other than HR to start the project. The next challenge is to build the cooperation based team culture in the project team.
Solution
We will use the Critical Path Method (CPM) as the project planning tool. We will first prepare the Work Breakdown Structure (WBS), list down the activities, their durations, and path dependencies. This will let us know the critical path (i.e. the longest path of project completion). Then we will assign the resources to each of the activities based on the capability of resources. We will consider the mentioned criteria of the case in assigning the resources to the tasks. It is quite obvious that some of the activities will be transferred to the subcontractors.
Once the assignment is done, we will invoke the concept of critical chain and will see which of the resources are overloaded. We will make nexus of these resources by forming a group (in one of the available IT platforms) where critical information can be shared and problems can be addressed instantaneously. In this way, we will ensure proper coordination and resource management in the project. The group will be given tools to monitor and control the project parameters and keep the cost and time as per the plan.
