PHASES OF PROCESS INTERVENTION AND EVALUATION

There are four distinct phases of evaluation that a process passes through. They are planning, implementation, completion, and finally reporting and communication. However, the evaluation techniques are not always uniform and in general depends on the kind of process and the desired outcome from the process.

1.       Planning

Planning is the most important phase of any process or project. This stage considers whether the process evaluation is feasible or not. i.e., whether it can be achieved within the time frame etc. With regard to an organization scenario, planning identifies the resources required for the process, identification of stakeholders, cash reserves required etc. Stake holders include the people who will be directly or indirectly associated with the organization process and who will be benefited from the process. On identifying appropriate stakeholders, strategies are devised to keep them engaged throughout the process. Further, the stakeholders should be informed that they are being evaluated in each phase and there should be a two-way communication between the stake holders and the evaluators.

For example: If an organization is planning to do a project on impact of corporate social responsible activities and is planning to extend the activities in three years. In this case, the organization would plan for the potential beneficiaries of their CSR activities who may be hospitals, local communities, residents of the town. The organization will also plan for the financial reserves and the allocation of company staff for the CSR projects. Allocation of duties and time required to spend on CSR activities are also allocated to the staff.

2.       Implementation

During the implementation phase, a process is evaluated as to whether it is engaging the proposed personnel. This phase oversees if the organization is giving adequate training to the people involved in the project. Coordination of financial and personnel resources are ensured for implementing the project as per the plans. In the case of the CSR project, the implementation phase could be reserved for six months to one year. During this period, a mid-term evaluation could be done to evaluate the effectiveness of the implementation phase.

3.       Completion

During the completion phase of the process evaluation, it is evaluated whether the process will derive immediate or long-term benefits for the organization and the beneficiaries. In the case of CSR project, the completion phase is at the end of two years, and it is being evaluated how the organization and society has been benefitted from the outcomes of the project (CSR project). The feedbacks of stakeholders are also collected. The positive outcomes, drawbacks, barriers during the processes are identified and are evaluated.

In this phase, a summative and holistic evaluation of the process is untaken, its outcomes are identified and its impacts on society and different stakeholders are analyzed.

4.       Reporting

Reporting is the process of communicating the whole process. It could be a thorough written or oral communication. The audiences are identified and the report may be published in industrial reports or community magazines. The results are prepared in a comprehensive manner to the appropriate audiences and people associated with the process or project. Dissemination of results require people, time and money.
