In this scenario you are the trainer. Your organization is preparing to celebrate its 100th year of operation. The management team has decided this represents a great opportunity to build public awareness of how important the organization is to the community, and they have tasked you with making a 20-minute presentation (informational training) to the eight local service organizations (Lions, Rotary, Jaycees, etc.) on the company’s history and its contribution to the growth of the community. You have been told that each presentation will have 20 to 50 people in attendance, and each meeting is held in the same place; a fully equipped (audio/video) conference room in the Holiday Inn. You have always been interested in the company’s history, and the company has maintained an extensive archive of its history (production records, employee records, photos, published stories, etc.) so you easily have enough content for a 2-hour presentation – that is not your problem. The problem is that the different members of the management team are also members of the different service organizations, and they in turn were the ones that scheduled the eight presentations, so it is important to them both personally and professionally that these presentations are well received by the people you will be presenting to (the audiences). As a result, you are aware that your performance, and thus the success of the project, will influence management’s perception of the value you add to the organization (and your opportunities for advancement). The 3-part question: Based on the scenario as presented, explain in detail your strategy for the design and the delivery of this informational training presentation, and how you will demonstrate each presentation was a success. (3 points for a clearly explained and specific design strategy, 3 points for a clearly explained and specific delivery strategy, 3 points for a clearly explained and specific evaluation strategy, and 1 point for proofreading what you write and correcting spelling/grammar errors)
Solution
BAsed on the scenario above, the design strategy for the presentation:
the presentation has to given in a time frame of 20 minutes. Hence, my aim as the trainer willbe make a presentation not more that 15-17 slides, planning to dedicate 1 minute for each slide, and last 3 minutes for answering any questions that arise, regarding the content of the presentation or the organization in general. the slides will be designed will light background and dark font (preferably black) to ensure good visbility, and professional outlook. Also, I will try to keep the text per slide to a minimum, and if included will put the text in points. I will try to include a lot of visuals in the presentations rather tahn text to make it interesting and memorable. I will avoid the use of animations in the presentation, until necessary to keep it professional.
delivery strategy:
For presentation delivery, I will start with greetings to the management members of my organization and the host organization, welcoming them for the session, then the introduction of my organization, and then go on with relating its nature and services to those of the host organization (Lions, Rotary, Jaycees, etc.) and the local community. then I will start with my presentation, with clear and slow delivery of information, going form slide to slide. I will try and include some jokes that relate to the context of the presentaion, to keep the environment intresting and light. I will try not to give too much information(statistical data) to avoid information overload, and keep the content simple and memorable with easy language and apprpriate delivery speed. I will try to keep the presentation communicative, by asking the audience about somethings about the local community, or the their organization in between and onnecting it the services of my organization. In the end I will conclude the content of the presentation in few points, and demand for questions and queries from the audience about the content of my presentation, or about my organization.
evaluation strategy: to demonstrate that the presentation was the success, I will highlight the involvement of the audience in my presentation, and the two waycommunication I fosterred during and at the end of the presentation with the ausience. Also, I will highlight that how I have connected the local community\'s needs and demands with our organizatiion, and how our services fulfill them.
